Executive Assistant to the CEO & COO
Location: Irving, TX (Hybrid)

Position Summary EEPlus is seeking a highly organized, proactive, and business-minded Executive Assistant to provide administrative, operational, and coordination support to the Chief Executive Officer (CEO) and Chief Operating Officer (COO). This highly visible role extends beyond traditional executive administration.
The successful candidate will serve as a trusted partner to executive leadership by coordinating priorities, supporting strategic initiatives, improving organizational efficiency, and facilitating effective communication across the company.
Working in a fast-paced power system planning and advisory environment, this individual will gain broad exposure to business operations, client engagement, corporate governance, organizational planning, and executive decision-making.
This position may provide a long-term development pathway toward a Chief of Staff, Executive Operations, or Business Operations leadership role.
Key Responsibilities
Executive Support
Manage complex calendars and scheduling for the CEO and COO, balancing client meetings, internal priorities, industry events, and travel.
Prepare meeting agendas, briefing materials, presentations, correspondence, and supporting documentation.
Anticipate executive needs and proactively address scheduling, logistical, and administrative requirements.
Handle confidential and sensitive information with the highest level of discretion and professionalism.
Coordinate domestic and international travel arrangements, itineraries, accommodations, and related logistics.
Executive Operations
Track executive priorities, strategic initiatives, commitments, and key organizational objectives.
Coordinate Executive Leadership Team meetings, management meetings, company-wide meetings, and leadership planning sessions.
Prepare agendas, meeting minutes, decision logs, action-item registers, and follow-up summaries.
Monitor executive action items and coordinate with responsible personnel to support timely completion.
Help establish consistent executive meeting and follow-up processes.
Support the CEO and COO in managing competing priorities and maintaining focus on critical initiatives.
Strategic Initiative Coordination
Support cross-functional initiatives involving engineering, advisory services, project management, finance, human resources, and operations.
Coordinate internal resources, meetings, documentation, and follow-up activities for executive-sponsored initiatives.
Assist with annual planning, leadership retreats, budgeting coordination, and company goal-setting processes.
Support special projects assigned by the CEO or COO.
Client and External Stakeholder Coordination
Coordinate meetings involving utility executives, project developers, industry partners, consultants, regulators, and other external stakeholders.
Prepare executive-level briefing materials, meeting agendas, presentations, and background information.
Coordinate conference participation, executive speaking engagements, industry events, and stakeholder meetings.
Maintain professional and responsive communication with clients and external contacts on behalf of executive leadership.
Track meeting commitments, requested information, and follow-up actions arising from external discussions.
Support logistical coordination for client visits, workshops, and executive meetings.
Internal Communications
Draft executive emails, announcements, memoranda, presentations, and company communications.
Assist in preparing leadership updates, organizational messages, and company-wide meeting materials.
Coordinate the collection and consolidation of information from departments for executive review.
Ensure executive communications are accurate, clear, consistent, and professionally presented.
Maintain appropriate document formatting, branding, and version control.
Support communication between executive leadership and employees across locations and functions.
Project and Operational Coordination
Support the administration of corporate governance meetings and leadership decision-making processes.
Assist with internal project kickoff meetings, management reviews, and operational planning sessions.
Facilitate coordination among technical teams, project managers, finance, and operations.
Maintain visibility into significant project milestones, risks, resource issues, and executive decisions.
Support the implementation of internal processes, procedures, and management systems.
Office and Administrative Management
Coordinate office operations and executive administrative services.
Manage office vendors, facilities requests, supplies, equipment, and general workplace logistics.
Coordinate executive visitors, employee meetings, internal events, and office functions.
Assist with internal event planning and employee engagement activities.
Assist with updating internal CRM and project status updates, as needed.
Maintain office and executive contact lists, distribution lists, and administrative records.
Coordinate with information technology, human resources, finance, service line VPs and external service providers as needed.
Required Qualifications
Bachelor's degree in business administration, communications, management, or a related field preferred.
Five or more years of experience supporting senior executives in a professional services, engineering, consulting, utility, infrastructure, or technical environment.
Demonstrated experience managing complex calendars, executive meetings, travel, and confidential information.
Exceptional organizational, prioritization, and time-management skills.
Excellent written and verbal communication abilities.
Strong attention to detail and commitment to accuracy.
Ability to manage multiple priorities in a fast-paced and deadline-driven environment.
High level of discretion, professionalism, and sound judgment.
Advanced proficiency in Microsoft 365, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
